For medical equipment distributors & service organizations

One system for every lot, contract, and tender.

Lot, serial, and expiry data in spreadsheets. Consignment stock at hospitals nobody can see. PM schedules on someone’s calendar. Month-end as archaeology. We build the one system that ends this, on Odoo, at a fixed price.

We were you

We ran this businessfor 25 years. Now we build the system for it.

From 1996 to 2020, Nedax was a general representative and distributor of medical equipment, with engineering roots back to 1982, when our family firm installed and serviced medical equipment from Ljubljana to Skopje. We were the first company to deliver a World Bank project in Bosnia: 37 community rehabilitation centers, with the RRC Fojnica rehabilitation center the same year. Three Japanese government grant projects. More than 190 healthcare institutions relied on equipment we supplied and serviced. We know consignment counts, tender deadlines, and expiry-date panic from the inside, because they were our Monday mornings.

The problems we build against

You know these six by name.

Each one costs hours every week and credibility every quarter. Each one has a specific answer in one system.

Traceability lives in spreadsheets

A recall notice or an auditor’s question means days of digging through delivery notes and Excel tabs, hoping the last update was real.

One system

Every unit carries its lot, serial, and expiry from goods receipt to installation. One search shows where any lot went and what expires next quarter. The record builds itself as your team works.

Consignment stock is invisible

Stock sitting at hospitals is counted by phone call and gut feeling. It gets used without paperwork and written off at year-end.

One system

Each hospital becomes a consignment location you can actually see. Usage triggers the invoice; replenishment triggers the delivery. Year-end counts stop being a negotiation.

PM schedules hang on a calendar

Preventive maintenance depends on whoever keeps the spreadsheet remembering. Missed visits surface as complaints, or as contract penalties.

One system

Service contracts generate their own maintenance work orders on schedule. Technicians see what is due this week; you see what was missed, before the customer does.

Tenders eat a week per bid

Every tender means rebuilding the same document set by hand under deadline: datasheets, references, price schedules, declarations.

One system

Tender document workflows keep product data, references, and price schedules in one place, assembled and versioned per bid instead of rebuilt from scratch.

Everything is typed twice

The quote is retyped as an order, the order as a delivery, the delivery as an invoice. Every re-keying is a chance to ship the wrong thing or bill the wrong number.

One system

One record flows from quote to order to delivery to invoice. Stock is reserved on confirmation and the ledger updates itself. Month-end becomes a review, not a reconstruction.

Contract profitability is a mystery

You know revenue per service contract. You do not know cost, because parts, hours, and travel are buried in three other systems.

One system

Every contract collects its own costs: parts consumed, technician hours, travel. Profitability per contract, per machine, per customer, on a report that is always current.

Questions owners ask

Asked by every distributor we talk to.

How long until we are live?

The Operations Audit takes two weeks and produces a fixed-price roadmap. Core Implementation reaches first go-live in 90 days from kickoff: CRM, sales, inventory with lot and expiry tracking, purchasing, and accounting. Full Platform scope is phased after that, on the timeline the roadmap sets.

We have years of data in a legacy system. Can you migrate it?

Migration is scoped in the audit, where we assess your data quality before quoting. Master data, open transactions, and lot and serial history come across; dead records usually should not. You see migrated data in the weekly demos long before go-live, so surprises surface early.

Can it handle consignment stock at hospitals and multiple warehouses?

Yes. Each hospital or depot is a stock location with its own counts and movements. Consignment usage drives invoicing, replenishment drives deliveries, and the same lot and expiry tracking applies everywhere your stock sits.

What about MDR, UDI, and audit traceability?

We do not give regulatory advice, and no software makes you compliant by itself. What the system gives you is the record: which lot and serial went to which customer, when, on which document, with expiry dates attached. When an auditor or a recall asks the question, the answer is a search, not a week.

Does it support e-invoicing in our country?

Odoo ships e-invoicing formats for many European countries, and e-invoicing integrations are part of Full Platform scope. We confirm your specific country requirements during the audit, before anything is quoted.

What happens after go-live?

Run & Improve, from EUR 1,450 per month: 15 hours included and one-business-day response. Distribution taught us that the sale is the beginning; support is where a systems partner earns the next decade. We do not disappear after go-live.

Why you and not a generic Odoo agency?

A generic agency has to interview you to learn what consignment stock or a tender dossier is. We ran a medical equipment distribution and service business for 25 years: 190+ institutions, World Bank and Japanese government projects, lines like Nihon Kohden and Enraf-Nonius. We build the system we needed then.

How can the price be fixed?

Because we never quote blind. The audit maps your processes and measures your data first; the fixed price is calculated from that evidence. The audit fee is credited in full against implementation, and you can exit at any phase boundary and keep everything built.

Two weeks from now, you could know exactly what this takes.

The Operations Audit is EUR 1,950, takes two weeks, and is credited in full if you proceed. Worst case, you walk away with a map of your processes and an honest roadmap.
